Hi all,
Here are the main objectives for the current client situation. In brackets I have put the 'extra details' that will help us to create more specific questions:

1. Understand / outline of the business organisation.
(Staff structure/ staff rolls/ outsourcing/ hierarchy/ who will we be dealing with.)

2. To understand how things are presently done.
(Main processes/ how they deal with customers/ surfboard design process/ sales process.)

3. Identify current documentation.
(eg brochures/ forms/ written policies and procedures.)

4. Identify users of the system and how they interact with the system.
(Target audience/ demographic/ how do they make contact/ time spent with customers/ what are majority of enquiries about/ how is business promoted.)

Ok, here are my suggested questions for the objectives regarding Current Client Situation:

1. Understand / outline of the business organisation.
(Staff structure/ staff rolls/ outsourcing/ hierarchy/ who will we be dealing with.)

• From what we understand, BAD Designs started as a group of 5 school friends building and spraying surfboards, have you hired any additional staff or contractors since the business was established?

• Is there a management structure within the business?

*If YES, please describe this to us and what each persons role is.
*If NO, could you please tell us how the business operates in terms of decision making.


**NOTE: I think we can find out ‘Who we will be dealing with’ before we even get to the interview. I think we should word the interview request email in a way to request that we speak with the person responsible for overseeing this project – that way we save ourselves a question and find out that little bit more info before we go in.

2. To understand how things are presently done.
(Main processes/ how they deal with customers/ surfboard design process/ sales process.)

• Could you please give us a brief overview of your surfboard design process, from the point at which you receive the enquiry, to the point at which you receive payment and finalise the order.

• Do you have a system in place for receiving and recording customer enquiries?

*If YES, Please give us a brief outline of this process.
*If NO, Is this something you think might benefit BAD Designs?



3. Identify current documentation.
(eg brochures/ forms/ written policies and procedures.)

• What documentation, both internal and external, do you currently have for BAD Designs? This might include for example brochures, forms, and written policies/ procedures.

**NOTE: In the email we send out requesting the interview, I think we should also ask for all documentation (Brochures, forms, written policies and procedures) to be forwarded to us PRIOR to the interview, so that we can gain maximum information about the business. (I realise that these things probably do not exist, but regardless, I still feel that it is a process I would take if this were a real life situation. We need to know the information anyway – and why not ask for it electronically to save them having to describe it all to us in detail).??


4. Identify users of the system and how they interact with the system.
(Target audience/ demographic/ how do they make contact/ time spent with customers/ what are majority of enquiries about/ how is business promoted.)


• We understand that currently you have a great reputation within your local area, however would you say that your target audience would be located state-wide, nation-wide, or world-wide?

• What would you say are the key demographics of your target audience?

please note: I think that Michelle's questions are pretty spot on but for the sake of overlapping I will try and add a couple more points, also I agree that we should email Tim and request documentation prior to the interview!

1. Understand / outline of the business organisation.

1. We understand that your a relatively new business, Have your hired any new staff or contractors since starting?
2. Do you have a managment structure or delegated roles within the business?


2. To understand how things are presently done.

1. Can you briefly walk us through the process of an order from the enquiry to point of sale to the manufacture of the surfboard?
(I think we should also find out how much time they are spending on just enquiries before they even turn into orders.)
2. Do you currently have a procedure or sales pitch in place in place to handle enquiries?
(We could also follow up with asking roughly what percentage of enquiries turn out a sale.)


3. Identify current documentation.

1. Do you have any written documents (e.g. brochures) that give information to prospective clients?
2. Do you have any templates of letters or sales pitches that you currently use to handle enquiries?


4. Identify users of the system and how they interact with the system.

1. We understand that your business has been quite successful in your local area and is just beginning to branch out, where do you think most of your enquiries come from and how do they hear about your business?

2. How do you recieve that majority of your enquiries and what are the most common?

*At some point, should we ask about the money topic and find out how much is being spent on supplies/wages/shipping/advertising and compare it to the business’s income? I hate asking people about money, it always feels weird, but I think in this case we might have to in order to get a better grasp on the company inner workings and to do our job as system analyst.


Current Client Situation

1. Understand / outline of the business organization.

Could you tell us who each of the people are in the business and their rolls?
(I know it’s a two parted question, but I think it’s okay here.)

Who deals with the customers?

Who is able to make the decisions for the business?

(Main processes/ how they deal with customers/ surfboard design process/ sales process.)

How do must people find out about your business?

Where is most of the business’s time spent?


Could you walk us through the tour process?

How do you receive orders?

How long does it take to make a board / design a board?

(E.g. brochures/ forms/ written policies and procedures.)

Could we please have a look at your current brochures, forms, written policies and procedures? (to heavy?)

How do you market yourselves?


Where is your biggest online presence?


4. Identify users of the system and how they interact with the system.
(Target audience/ demographic/ how do they make contact/ time spent with customers/ what are majority of enquiries about/ how is business promoted.)

How do most customers/clients get in touch with you?

What are most of the customers enquires about when spoken to?

How are orders placed?

How do most customers/clients learn about your business?

Can you give a brief description of the steps you take when dealing with an enquiry with a client to the completion of the sales process?
How long will that process take?
How much time is spent on a single enquiry?

Do you have any documentation that you give to clients about your business?

4. Identify users of the system and how they interact with the system.
How do customers get in contact with you about queries they have?
What are the majority enquiries about?
